Steps on creating categories for all your documents. 

Create a New Category 

  • Click on Manage Collateral Categories found under Administration –> Marketing Asset Manager

  • Location of New Category - Under Select Category area click on the category you want to create a new sub-category. Example 1: To create a new category under Image Gallery, you would high-light Image Gallery by clicking on it. Example 2: To create a new sub-category into a sub-category, you just click on the sub-category you want your new category to be placed. 

  • Add Category - In the top right hand corner of the Select Category area, click on Add Category. A new window will pop up. Type in the name of your new category. Click on the Add Category button found on the bottom of this page. You should now see the Category you just created. 


 


Mass Collateral Upload 

  • Mass Collateral Upload Page - Click on Mass Collateral Upload (for multiple collateral adds or single collateral adds) located under Administration –> Marketing Asset Manager menu. 
  • Choose Images to Upload - Click on the Browse button to find the files you want to upload located on your computer. Click the file you want to upload or hold down Shift and click multiple files to upload. Select the Open button located at the bottom right hand side of this window.

Important: If you are uploading files that already exist on the system and you want to overwrite these files, you need to have the Overwrite existing file checkbox selected.

 


  • Assign Category - At the bottom left side of the Configure File box, click on the Select All button. Click the Edit Selected button. This will open a window were you can now assign what category/categories you want this collateral to be located. You can also add Description and Keywords in this same window. 
  • If you would like all the collateral that you have selected to be located in the same category, have the same description, keywords, and permissions click on Save All located on the bottom left side. 
  • If you DO NOT want all these collateral located in the same category or have the same description and keywords, at the top of this box is a large green arrow that you can click and go to the next collateral and assign its category, description, keywords, name, permissions. After you have finished all collateral, click on Save All located on the bottom left side. 




Collateral Set up

To set up collateral make sure you fill in the required information, this is highlighted with the orange star, The details are below. 

Name: give collateral name, we suggest a name that will allow the user to know what the item is from the title. 

Description: detailed instructions or information on the collateral. You can use html as seen in example below

File Type: Choose the item that best describes your collateral. Examples would be, PDF Document, Email, Image.

Content Type: These are content categories that can be customized to fit your business model. Examples would be General Marketing Assets, Business Cards, Flyers.

Print Quality Version: only needed if this is a print item or if you have different version of the print item. 

Enable Watermark on Preview: this option can be used on previews to deter downloads of item. 

Thumbnail Icon: this allows the item to have a custom thumbnail that will represent the collateral if needed. 




Categories: the collateral can live in more that one category, click on category and it will highlight in color you choices. 

Keywords: allows you to search your collateral by keywords.

Group Name: The platform allows you to set up groups for similar items example different sizes of shirts. The items will now show up under the assigned default collateral. 

  1. Give group a name ie. Distribion Womens Shirts and click on which collateral will be the default. 
  2. When setting up each corresponding item make sure you assign the group name. 

Expiration Date: this allows the ability to set a date and time limit on when the collateral will be expire and no longer be visible in the platform. 

Automatic Border Cropping: this allows if you use one collateral for print, checking the box will remove bleed regions from the the low quality version.
