Creating and Using Content Collections in PDFs and Emails:
- For emails or PDF when you want users to be able to swap out content on this or re-purpose.
- Set up email using content collections > load email
- In step 3 example A in the build phase if there is a content collection the Document settings tab will be included at top and the content collection will be available and in it which users can select via drop down – colors which are approved.
- Choose color/data options available.
- Admin manages one piece users go to one location.
- Customize HTML Template > Edit Template Section > Edit HTML > (Content collection tags are variable) > Insert desired variables just like you would regular email but tag on “cc” when wanting to use in content collection. These are NOT the same as edit tags.
- Admin > Global Content > Manage Content Collections ( can use in emails and PDFs) > View list of content collections > can see data sets defined.
- Edit means you can rename it and set parameters > Set colors or free form text
- Set default content collection on edit part
- In each CC there are data sets. Data set ID is free form text that users can type in.
- Edit/Duplicate/Permission to who can see them
- The default permissioned to everyone
- Can also delete data sets
- Look at components/variables in each data set “Edit “name” Data Set”
- Green means data set for item
- When editing data set it will open up HTML editor so that you can edit the tags > save changes
- Collection manager shows list of all data sets
- If no collections > add collection > allow users to choose from drop down > title > save > add data set > title data set > save > back to edit collection to see data set > edit data set to create variables > add > viewable on table > Set default content on each of the data variables > set hex value > For the logo can use image picker to select the default image > Add URL to image > save changes > Edit website > save changes
- Within Edit Collections variables Can select “edit variable” to change name/text
- Recommend downloading data to CSV file first > could then edit CSV file with new file and upload – so you don’t have to manually do each one individually. It will then pull up a grid to match the variables. Can choose to override existing data.
Review content collection and put in PDF piece
- Select CC > View variables > Copy variables > go to MAM > find PDF to use for CC > Modify Collateral > Set variables > Set variables to use data collection from desired content collection > Review PDF to ensure changes/edits are present.
