Email Send Feature

Email Campaign Deployment: Step 1
Sending an email campaign will go through steps this step is setting up the items below.
- Campaign Name
- Email Subject
- Name and email of person sending the campaign.
- You can now add preheader text
- Reply to email if needed.
- To save email please add the name you would like to save the email by entering the information at the bottom center line. If you do not save with a unique name the email will remain as a draft and cannot be used in the future. The emails will be saved under My Stuff>saved emails.
Select Recipients: Step 2
- Select E-mail campaign recipients in Step 2. , click “Include groups” to retrieve your list of available contact groups.
- To select a group, click the box to the select multiple groups, click the box labeled "Include Selected" to include all groups click "Included all Groups".These groups will populate in the right side under "Groups included"
- This area allows you to select contact groups you would like to be excluded from the E-mail campaign. For example, if you want to send a reminder E-Mail to sign up for an event, but you don't want those who have already signed up to receive this email, create a group containing those already signed up and exclude the group from this campaign.
- To send the campaign to specific E-mail addresses within a group, click on group name and select specific email address to include in the campaign.
- You can also manually add email addresses, to receive the campaign in the “Individual Included" box that will update with the amount of individual contacts.
Select Recipients filter options below:
At this point your campaign will now be sent to ALL contacts owned by those Users. You can however, further refine the recipient contacts of the campaign by further selecting groups for each and every user if you desire.
As is true with all of the filter dialogues in the platform, you can mix ‘n match filter criteria. For instance, you could select all users in the group “Jigsaw” with the user profile field “Home State” contains the word “Texas”.
Build Campaign: Step 3
This area lets you customize if applicable the email content. You may have drag and drop functionality or the option to customize images and text. If you have questions on the email options please contact your administrator.
Review Campaign: Step 4
This area allows you to view the email with all customizable fields.
Edit an HTML E-Mail –Single Line Text
- Single Line Text Editable Area – This type of editable area allows you to change a small amount of text like a title or heading. This field type will not allow you to make any font or style changes. To change the text, simply click inside the “Edit Text“ input box and begin typing.
- There may be a character limit to the text field and you can see how close you are to your limit as you type. This limit is established by your DMP system administrator.
- Once done with your changes, click the “Save“ button, or the “Cancel“ button to save changes or cancel and return to the “Edit HTML” E-mail screen.
Edit an HTML E-Mail –Multi-Line Text
- Multi-Line Text Editable Area – This type of editable area allows you to change multiple lines of text like a summary or short paragraph. This field type will not allow you to make any font style changes. To change the text, click inside the “Edit Text“ input box and begin typing.
- There may be a character limit to the text field and you can see how close you are to your limit as you type. This limit is established by your DMP system administrator.
- Once done with your changes, click the “Save“ button, or the “Cancel“ button to save changes or cancel and return to the “Edit HTML” E-mail screen.
Send Campaign: Step 4
This step will allow the campaign to be sent immediately or at a specific day and time.
- If the email is to be sent immediately the button will be to the right and highlighted. To send the email campaign go to the bottom right and click on the finish button. Once the button is to the final completed page.
- If the email is to be sent at a designated date, confirm button is to the left and it will be greyed out. Then choose a send date and time. Click finish at the bottom
- Finish button, you can also send preview from this step also.
If your email is set to “Send Now”, it will be sent to the processing queue immediately. If your E-mails require approval before sending, this button will say “Send for Approval”. Once approved, the email will be sent out as specified without further notification. If it is not approved, you will be notified. If you have not sent the email and you want to cancel the campaign, click the “Cancel Campaign” button.
HTML E-mail : Pending Campaigns
To view Pending E-mails or E-mails currently sending go to: Menu > Email Marketing System > View Pending Emails
- Campaigns waiting for approval or post dated campaigns are listed under Pending E-mails. E-mails that are pending can be edited or canceled.
- E-mail campaigns currently in the send process will be shown here. You can Pause, Unpause or Delete the send process of any campaign listed here by using the links under the Actions column. Selecting to pause or delete a campaign will only affect the portion of the campaign that has not already been processed. E-mails process quickly, so typically only the larger campaigns are visible on this screen for an extended period of time.
HTML E-mail : Reload a Saved E-mail
- To view Saved E-mails navigate to: Menu > E-mail Marketing System > Reload a Saved E-mail
